How the sync works

WebpinnPOS connects to your WooCommerce store using the WooCommerce REST API. You generate a Consumer Key and Consumer Secret in your WordPress admin and enter them in WebpinnPOS during setup. From that point, the two systems communicate directly: no intermediary plugin is needed on WooCommerce.

Stock quantity is the primary two-way data point. Everything else flows one direction: from WooCommerce into WebpinnPOS during the initial product import. This design means your WooCommerce store remains the source of truth for product content (descriptions, images, SEO) while WebpinnPOS is the source of truth for what happened at the counter.

WooCommerce webhooks notify WebpinnPOS when orders are placed online. WebpinnPOS calls the WooCommerce API directly when in-store sales happen. Both paths are near real time under normal network conditions.

SKU is the matching key. WebpinnPOS and WooCommerce match products by SKU. If a product in WooCommerce has no SKU set, it cannot be reliably synced. Before connecting, make sure all products and variations in WooCommerce have unique SKUs assigned.

How an in-store sale updates WooCommerce

When a cashier completes a sale in WebpinnPOS, this sequence runs automatically:

  1. WebpinnPOS records the transaction and reduces its local stock count for each item sold.
  2. WebpinnPOS looks up the WooCommerce product ID and variation ID (if applicable) for each item using the SKU mapping built during the initial import.
  3. WebpinnPOS calls the WooCommerce REST API to update the stock quantity for each matched product or variation.
  4. WooCommerce confirms the update. The new stock level appears immediately on your product pages and in your WooCommerce admin.

If your shop's internet connection drops during a sale, WebpinnPOS queues the API call and retries when the connection is restored. Your in-store sale is recorded regardless of connectivity.

How a WooCommerce online order updates WebpinnPOS stock

When a customer places an order on your WooCommerce store, WooCommerce fires an order-created webhook to WebpinnPOS. WebpinnPOS parses the order line items, matches them by SKU to its local product catalog, and reduces its stock counts accordingly.

Your shop staff will see the updated quantities in WebpinnPOS right away. If you have a product display or stock-level indicator at your counter, it will reflect the online purchase without any manual action needed.

This prevents the common problem in dual-channel retail where a product sells out online but staff continue offering it to walk-in customers because their system shows it as in stock.

Setting up the sync in WebpinnPOS (REST API credentials)

  1. In your WordPress admin, go to WooCommerce then Settings then Advanced then REST API. Click Add Key.
  2. Enter a description (e.g., "WebpinnPOS Sync"), set the User to your admin account, and set Permissions to Read/Write. Click Generate API Key.
  3. Copy the Consumer Key and Consumer Secret. These are shown only once: save them immediately.
  4. In your WebpinnPOS dashboard, go to Integrations then WooCommerce. Enter your store URL, Consumer Key, and Consumer Secret.
  5. Click Connect. WebpinnPOS will verify the credentials and list your WooCommerce products.
  6. Run the initial product import. Review the imported items and check that SKUs are matched correctly.
  7. Enable live sync. Both systems will now update each other's inventory automatically on every sale.
