WebpinnPOS syncs products, stock levels, barcodes, prices, and categories with Shopify. Stock updates are two-way and near real time: an in-store sale through WebpinnPOS reduces Shopify inventory, and a Shopify online order reduces WebpinnPOS stock. Product descriptions and images are not displayed in the POS but are preserved in Shopify.
How the sync works
WebpinnPOS connects to your Shopify store through the official Shopify API. The integration uses a combination of webhooks and API polling to keep both systems current. When a sale is completed in either system, an inventory adjustment is pushed to the other side within seconds.
The sync is two-way for stock quantities. This is the most critical aspect: you do not manually adjust inventory in two places. The initial product import is one-directional, products come from Shopify into WebpinnPOS, but stock movements flow in both directions from that point forward.
The connection runs over HTTPS using your Shopify store's API credentials. No third-party service sits in the middle. This means the sync speed depends on your Shopify plan's API rate limits and your internet connection at the shop.
What syncs: the full list
| Data field | Syncs to WebpinnPOS | Syncs back to Shopify |
|---|---|---|
| Product name | Yes (initial import) | No |
| SKU | Yes | Yes |
| Barcode (EAN/UPC) | Yes | Yes |
| Selling price | Yes (initial import) | No |
| Stock quantity | Yes, real time | Yes, real time |
| Product category / collection | Yes (initial import) | No |
| Product images | No (not displayed in POS) | No |
| Product description | No | No |
| Variants (size, colour, etc.) | Yes, each variant as a separate POS item | Yes, stock per variant |
Price changes: If you update a price in Shopify, re-import the product in WebpinnPOS to pull in the new price. Continuous price sync is not currently automatic, so update prices in both places or trigger a re-import when prices change.
How an in-store sale updates Shopify stock
When a cashier completes a sale in WebpinnPOS, the following happens in sequence:
- WebpinnPOS records the sale and immediately decrements the local stock count for each item sold.
- WebpinnPOS calls the Shopify Inventory API and submits an inventory adjustment for each sold variant at the mapped Shopify location.
- Shopify confirms the adjustment and updates the available quantity on the product page. Your online store now shows the correct remaining stock.
The entire process typically completes within a few seconds of the sale being confirmed. If the shop's internet connection is interrupted, WebpinnPOS queues the adjustment and sends it when connectivity is restored.
How a Shopify online order updates WebpinnPOS stock
When a customer places an order on your Shopify store, Shopify triggers an order-created webhook. WebpinnPOS receives this webhook and reduces its local stock count for each item in the order. Your shop staff can see the reduced quantity in the WebpinnPOS inventory view immediately.
This is important in a physical shop context: if your last unit of a product sells online while a customer is browsing your shelves, your staff will see zero stock in WebpinnPOS and can inform the customer right away. Without this sync, stock discrepancies build up and are only caught during periodic stock counts.
Shopify order fulfillment details (tracking numbers, shipping status) are managed in Shopify and are not sent to WebpinnPOS, as fulfillment is an online-store concern.
Setting up the sync in WebpinnPOS
- In your WebpinnPOS dashboard, go to Integrations and click Connect Shopify.
- You will be redirected to the Shopify App Store to install the WebpinnPOS app. Click Install to grant the necessary API permissions.
- Back in WebpinnPOS, select the Shopify location you want to sync with this branch. If you have multiple branches, repeat for each one.
- Run the initial product import. WebpinnPOS will pull all your Shopify products and variants into its catalog.
- Review the imported products and confirm stock quantities are accurate. This is the baseline for all future sync operations.
- Enable the live sync toggle. From this point, all sales in either system update stock in both places automatically.
